Privacy Policy

Last updated: 1 July 2026. This policy explains how we handle personal data relating to website visitors, members, beneficiaries, volunteers, donors and partners.

1. Data controller

2. Legal framework

We process personal data in accordance with Law No. 133/2011 of the Republic of Moldova on the Protection of Personal Data and, where our activities fall within its scope, Regulation (EU) 2016/679 (GDPR). Where the two frameworks differ, we apply the standard that offers the higher level of protection to the individual.

3. What data we collect

  • Website visitors: pages requested, approximate region, browser type, referring page and timestamps, collected by our hosting provider in server logs for security and availability purposes.
  • Contact and volunteer forms: name, email address, telephone number, locality, area of interest, availability and the content of your message.
  • Members and beneficiaries: identification data, contact details, household situation, type of equipment issued and service history. Where a disability certificate or medical recommendation is required to justify assistance, we record only the minimum necessary and treat it as a special category of data.
  • Donors and partners: contact details, contribution records and correspondence needed for accounting and reporting.

We do not use advertising cookies, cross-site tracking pixels or third-party analytics profiling on this website. The contact map is embedded from OpenStreetMap, which may receive your IP address when the map loads.

4. Why we process data and on what legal basis

  • To respond to enquiries and register volunteers — on the basis of your consent and our legitimate interest in operating the association.
  • To deliver assistance to beneficiaries — on the basis of your explicit consent and of substantial public interest in the field of social protection.
  • To keep accounts and report to donors and authorities — to comply with legal obligations under Moldovan accounting, tax and NGO legislation.
  • To maintain the security of this website — on the basis of our legitimate interest in preventing abuse.

5. Sharing

We do not sell, rent or trade personal data. Data may be shared only with: our hosting and email service providers acting under contract; auditors and donors where a grant agreement requires verification, ordinarily in aggregated or pseudonymised form; and public authorities where disclosure is required by law. Any transfer outside the country is made only where an adequate level of protection or appropriate safeguards exist.

6. Retention

  • Website contact and volunteer enquiries: 24 months from last contact.
  • Volunteer records: for the duration of collaboration plus 3 years.
  • Beneficiary and equipment records: for the duration of assistance plus the period required by donor and statutory reporting rules, normally 5 years.
  • Accounting documents: as prescribed by Moldovan law, normally 5 years.
  • Server logs: up to 12 months.

7. Your rights

You have the right to be informed, to access your data, to rectification, to erasure, to restriction of processing, to object to processing based on legitimate interest, and to data portability where applicable. Where processing is based on consent, you may withdraw that consent at any time without affecting the lawfulness of earlier processing. Requests can be sent to stanton-norrisf@gmx.com and are answered within 30 days. If you consider that your rights have been infringed, you may lodge a complaint with the National Centre for Personal Data Protection of the Republic of Moldova, or with your local supervisory authority in the EU.

8. Security

Access to personal data is limited to staff and volunteers who need it for their role and who have signed a confidentiality undertaking. Paper files are held in locked storage at the Comrat office; electronic files are held in access-controlled accounts. We review these measures annually.

9. Children

Where assistance concerns a person under 18, we process data only with the consent of a parent or legal guardian, and we limit collection to what is strictly necessary for the assistance provided.

10. Changes

We may update this policy to reflect changes in our activities or in the law. The date at the top of this page shows when it was last revised; material changes are announced on the home page.
